Collectively, the data highlights a district where routine service delivery and strategic planning work hand-in-hand to support a high quality of life for residents.

Recommendations

Allow EP311 Requests Time to Progress Before Escalating

Several CRs have been submitted shortly after EP311 SRs were created this month. Because EP311 SRs must first be routed, assigned, and assessed, immediate escalation through a CR creates duplicate work for departments before operational staff have an opportunity to respond.

Opportunity: Allow routine EP311 SRs sufficient time to enter the appropriate departmental work queue before submitting a CR for follow-up or coordination.

Help Educate Residents on Using EP311 to Their Advantage

June's EP311 data showed a significant portion of duplicate requests (18%) this month, while several CRs were submitted shortly after EP311 SRs were created.

When multiple records are created for the same issue before departments have an opportunity to assess the original request, staff must spend additional time reviewing duplicate records, confirming existing work, and coordinating responses across multiple systems. The District Office provides a great value when helping residents navigate EP311 and empowering them to track their items.

Opportunity: Delivering excellent customer service doesn't always require creating a new CR. In many cases, following up with the assigned department after the original EP311 request has had ample opportunity to be assessed provides residents with the same level of advocacy while avoiding duplicate records and allowing operational staff to work through established service queues.
